1. Who we are and how to contact us

Klipy UK Limited (company number 15984744) is the data controller for the personal data described in this notice. We are registered with the Information Commissioner's Office (ICO). Our registered address is available on the Companies House register at find-and-update.company-information.service.gov.uk.

2. What personal data we collect

We collect different data depending on how you interact with Klipy UK Limited.

Website visitors

When you visit klipy.uk, our hosting provider and analytics tools may collect:

  • IP address and approximate location (country or region level)
  • Pages visited, time on site, and browser or device type
  • Referral source (the site or search term that brought you to ours)

This data is collected via cookies and similar technologies. See section 7 for details.

Contact form and direct enquiries

When you contact us through the website or by email or phone, we collect:

  • Name
  • Email address
  • Telephone number
  • Business name and any other information you choose to share

Calculator and statement upload

When you use our savings calculator, we collect:

  • Business name and approximate card turnover
  • Average transaction value and card mix estimates
  • Any merchant statement you choose to upload, in PDF or image format

Calculator and statement data from users who do not proceed to an application is retained for 30 days and then deleted.

Application (Apply wizard)

When you submit a merchant application through Klipy, we collect:

  • Trading name and legal name
  • Company registration number and type
  • Director name, date of birth, and home address
  • Business address and contact details
  • Bank account sort code and account number, for submission to Teya
  • Identity documents and proof of address, where required by Teya's onboarding process

Marketing communications

If you opt in to marketing communications, we collect:

  • Email address
  • Communication preference (frequency and topic)

4. Who we share your data with

We share your personal data only where necessary to provide our services or to comply with the law.

We do not sell, rent, or share your personal data with third parties for their own marketing purposes.

5. Data retention

We retain personal data only for as long as necessary for the purposes for which it was collected, or as required by law.

When retention periods expire, data is securely deleted or anonymised.

6. Marketing communications

We send marketing emails only where you have given us clear consent to do so. Each marketing email contains an unsubscribe link. You may also withdraw consent at any time by writing to sales@klipy.uk.

Withdrawing consent does not affect the lawfulness of marketing sent before you withdrew it. It does not affect transactional emails related to an active application or account.

We do not share your marketing contact details with third parties for their own marketing purposes.

Klipy UK Limited uses cookies and similar technologies on klipy.uk.

We do not use advertising or profiling cookies.

When you first visit klipy.uk, you are presented with a cookie banner. You may accept or decline analytics cookies at that point. You can change your preference at any time via the cookie settings link in the footer.

Declining analytics cookies does not affect your ability to use the site.

8. Your rights under UK GDPR

You have the following rights in relation to the personal data we hold about you:

  • Right of access: to request a copy of the personal data we hold about you
  • Right to rectification: to ask us to correct inaccurate or incomplete data
  • Right to erasure: to ask us to delete your data, subject to our legal retention obligations
  • Right to restriction: to ask us to limit how we use your data while a dispute is resolved
  • Right to data portability: to receive your data in a structured, machine-readable format where processing is based on consent or contract
  • Right to object: to object to processing based on our legitimate interests, including for direct marketing
  • Right to withdraw consent: where we process data on the basis of consent, to withdraw that consent at any time

To exercise any of these rights, please contact us at sales@klipy.uk. We will respond within one calendar month. If your request is complex or we receive multiple requests, we may extend this period by up to two further months, and we will inform you if we do so.

We will not charge a fee to handle your request unless it is manifestly unfounded or excessive.

9. The Information Commissioner's Office

If you are not satisfied with how we have handled your data or responded to your request, you have the right to make a complaint to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection.

We would always prefer the opportunity to address your concern directly first. Please contact us before referring a matter to the ICO where possible.

10. International transfers

Our hosting provider (Vercel Inc) and email delivery provider (Resend Inc) are US-based companies. Where personal data is transferred outside the UK, we ensure that appropriate safeguards are in place, including Standard Contractual Clauses approved by the ICO, or reliance on the UK adequacy framework where applicable.

11. Changes to this notice

We may update this notice from time to time to reflect changes in our services, legal obligations, or ICO guidance. The version number and effective date at the top of this page show when the current version took effect. Where changes are material, we will notify you by email if we hold a contact address for you.
